How to use Instruction fields to provide guidance to users

Overview

When configuring applications in Multiplier's app catalog, administrators can provide detailed instructions in three key areas: End User Instructions, Provisioning Instructions, and Notes for Approvers.

These fields allow IT teams to document critical information that guides different stakeholders through the access management process.

Provisioning Instructions

Provisioning Instructions help IT staff and agents understand how to properly set up access for users.

These instructions are displayed in the Jira issue in the agent view.

End User Instructions

End User Instructions provide guidance to employees who receive access to the application. This might include login URLs, initial setup steps, or important usage guidelines.

This value is available through the Smart Value {{issue.properties.multiplierSoftwareRequest.software.endUserInstructions}}

For example, when an access request is approved, you might want to automatically send an email to the requester containing the end user instructions, or add a comment on the ticket.

To display this as a comment on the ticket once their access has been provisioned, you can create an Automation rule which looks like this:

Notes for Approvers

Notes for Approvers give important context to those responsible for approving access requests, such as cost implications or compliance considerations.

This value is available through the Smart Value

When a request reaches the approval stage, you can include the notes for approvers in the approval notification using Jira automation.
