Auto Reclaim: Automatic SaaS License Reclamation

Overview

Multiplier's Auto Reclaim feature helps organizations optimize their SaaS spend by automatically identifying and reclaiming unused software licenses based on real-time login activity from your identity provider.

Note: Auto Reclaim is available exclusively to customers on the Advanced edition of Multiplier.

How It Works

1. Login Data Collection

Multiplier continuously monitors and pulls last login data for every application connected to your identity provider. This gives you complete visibility into which licenses are actively being used and which are sitting idle.

2. Policy Configuration

You can configure custom inactivity policies for your SaaS applications through Multiplier's policy builder interface:

When creating a policy, you define:

  • Application: Select which SaaS application the policy applies to

  • Inactivity Threshold: Set how many days of inactivity trigger the policy (e.g., 30 days without login)

  • Grace Period: Define the timeframe users have to respond after notification

  • Group Exclusions: Exclude specific user groups from the policy (e.g., executives, contractors, or critical teams who should retain access regardless of login frequency)

This allows you to tailor reclamation policies to match each application's importance and usage patterns within your organization.

3. User Notification

When a user exceeds the inactivity threshold, Multiplier automatically sends them an email notification warning that their license will be revoked if they don't log in within a specified timeframe.

4. Admin Visibility

As an administrator, you have complete visibility into the Auto Reclaim process. You can view which users have been sent inactivity notifications, allowing you to monitor the reclamation workflow in real-time.

5. Automatic License Revocation

If the user doesn't log in after receiving the notification, Multiplier automatically revokes their access. Administrators can track which users have had their access revoked, and the system automatically generates a Jira ticket documenting the license removal for audit and workflow purposes.
